When to use this

Send this within a few hours of a product demo, while the conversation is still fresh for the prospect — waiting a day or more noticeably lowers response rates and lets competing priorities crowd out the momentum you built on the call. It’s meant for demos with a single primary contact or a small buying group who attended live, not a mass webinar recap. Why it works

The email works because it does the prospect’s internal selling for them: many demo attendees need to relay what they saw to a manager or committee, and a clear written recap in their own language gives them something to forward instead of relying on memory. Opening with a specific reference to something they said in the call (not a generic “great speaking with you!”) signals the email was actually written for them. Ending with one specific, time-bound next step — rather than a vague “let me know if you have questions” — keeps the deal moving instead of stalling in an open-ended holding pattern.

Customization tips

  • Fill in the “recap” bullets with things the prospect actually said on the call, not generic product features — this is what makes the email feel personal rather than templated.
  • If a technical or pricing objection came up live, address it head-on in this email rather than waiting for them to raise it again; unresolved objections are the most common reason demos go quiet.
  • Attach one relevant asset (case study, ROI calculator, comparison sheet) rather than several — a single, well-matched resource gets opened; a bundle of five attachments usually doesn’t.
