When to use this

Use this sequence any time a prospect has booked a specific, timed appointment — a discovery call, a product demo, a property viewing, or an on-site visit. No-shows are one of the biggest silent leaks in a sales pipeline, and WhatsApp reminders sent close to the appointment time measurably reduce them, especially compared to email reminders that get buried in an inbox. Why it works

The sequence uses two touchpoints: a confirmation shortly after booking (so the appointment feels real and committed) and a same-day reminder a couple of hours before (when it’s genuinely useful, not annoying). The template

Immediately after booking:

You’re all set, [First Name]! 📅 Your call with [Your Name] is confirmed for [Date] at [Time] ([Timezone]).

I’ll send a reminder closer to the time. If anything changes on your end, just message me here.

Day-before reminder:

Hi [First Name], quick reminder — we’re set for tomorrow, [Date] at [Time]. Looking forward to it! Let me know if you need to move it.

Same-day reminder (2-3 hours before):

Hi [First Name], just a heads-up our call is coming up at [Time] today. Here’s the link: [Meeting Link]. See you soon!

If they need to reschedule:

No problem at all! Here’s my calendar to pick a time that works better: [Scheduling Link]. Talk soon.

Customization tips

  • For in-person appointments (site visits, showroom bookings), replace the meeting link with the address and a landmark or parking note — reduces last-minute “where do I go” messages.
  • Send the same-day reminder 2-3 hours ahead, not the morning of, for afternoon appointments — too early and it’s forgotten again by the time the appointment arrives.
  • Add a calendar file (.ics) attachment to the confirmation message when your WhatsApp tool supports it; it reduces reliance on the reminder messages entirely.
